Japan Embassy Appointment Email Format Sample

 Step 2 – Preparing Required Documents

The applicant will get the appointment email from the Japanese embassy. After that, you have to arrange the following documents and submit them in person on the appointment date to the Japanese embassy.

Required Documents for Visa Application (Hard copy/printed copy)

Applicants need to arrange the following documents for a Japan tourist visa application;

  • Passport
  • Completed Japan Visa Application Form (Printed)
  • Passport-size photo
  • Cover letter
  • Bank statements (3 months bank statement with minimum 15,000 – 20,000 RM)
  • Sponsor’s bank statement and sponsorship letter (If required)
  • Travel itinerary for Japan Visa
  • Flight booking
  • Hotel Booking
  • Proof of study (Student confirmation letter/NOC)
  • Employment letter/ NOC in Malaysia

Step 3 – Email Confirmation

The applicant will receive a reply email within seven working days with the 3-appointment schedule. The applicant has to select one date and time, then reply with the specific date and time for the embassy appointment. And also, sometimes the Embassy will ask for a list of 3 dates and times and ask you to get back to them by email.

Step 4 – Submit The Documents to the Japanese Embassy

The applicant must attend the embassy appointment on the specified date and time as per the email confirmation. After that, one has to submit the documents as per the checklist. Applicants may have a short interview when submitting documents at the embassy.

Step 5 – Visa decision

After submitting the visa application and other documents, the applicant has to wait for the visa decision. The applicant will receive the visa decision via email within 1 week.

Japan Tourist Visa Checklist for Foreigners

1. Original valid passport – will be kept in the Embassy during the visa processing period.
Non-Malaysian applicants must have a valid Malaysian long-term visa (with a total duration of at least 1 year) in their passport, e.g., employment/ student/ dependent/ MM2H visa/ Residence pass. Kindly submit a copy of your valid Malaysian visa.
For a permanent resident of Malaysia, please submit a copy of your My PR ID card (front and back)
2. Visa Application form (Original) https://www.mofa.go.jp/mofaj/files/000124525.pdf (Digital signature/scanned copy is not acceptable. The signature must match the one on the passport.
Note: 2 forms required for applicants from Russia and CIS countries
3. One 4.5 cm x 3.5 cm color photo with a white background taken within 6 months, glued on the visa application form (do not staple your photo)
-Do not reprint/reuse old photographs that you have used for any visa applications (for any countries) or renewal of a passport that is more than 6 months old.
-The photograph must be full-faced, front-facing, with the head straight, unedited, sharp, with a white background (no shadow or object shown in the background)
– Avoid wearing bright/white color hijab, bright/white color tops
– Do not use photo enhancement tools such as filters or Photoshop

– 2 photos required for applicants from Russia and CIS countries
4. Original Employment Letter from your company in Malaysia must be addressed to Embassy of Japan in Malaysia for Japan visa application purpose stating your (a) position, (b) date of joining the company (DD/MM/YY), (c) purpose of journey with (d) original company stamp and (e) name, position and original signature of the authorized person (Please do not miss out any of the information)

Note I: The Company letter should be printed on the company letterhead with the original signature and company stamp. The signature of the authorized signatory and a scanned or photocopy of the company letter are not acceptable.

And if you are a sole proprietor/partner/director/owner of the company, you MUST submit Document No. 4 and a copy of your company registration documents (SSM documents)

5. Original letter from the university/college (must be addressed to the Embassy of Japan in Malaysia) stating your current status, course taken, duration of course, and purpose of journey. The letter must be printed on university letterhead, with the authorized signatory’s original signature and the university stamp.
6. Original cover letter prepared and signed by the visa applicant (must be addressed to the Embassy of Japan in Kuala Lumpur) in English/Japanese only, stating.

a) your full name and current visa status (e.g., employment pass, residence pass, etc.)

b) details of your trip – purpose of journey (in detail), date of travel, and duration of stay in Japan (must be the same as stated on the visa application form and schedule of stay)

c) travelling alone or with whom (please provide name, nationality, and relationship, e.g., friend, siblings, parents, spouse, children, etc.)

d) All expenses will be borne by whom?
7. Applicant’s latest 3 months’ personal bank statement in Malaysia must be an original certified true copy by the bank (with the bank’s stamp and signed by the bank officer on all pages). Bank statement must show the account holder’s name, account number, the latest 3 months’ transactions, and the current balance.

Note I: Bank statements from other countries are not acceptable.

Note II: 3 months’ transaction history from your internet banking is acceptable if it is signed and stamped by the bank officer
and the page includes the account holder’s name, account number, and current balance.
Note III: Company bank statements are not acceptable for a personal trip
Note IV: If the Company sponsors the trip, please submit the company’s latest 3 months’ bank statement

Please fill in your tentative arrival date, departure date, tentative daily travel plan in detail, and accommodation information (hotel name, address, and phone number) (date and period of stay must be the same as stated on the visa application form).

Note I: For those following a package tour, please provide the travel agency’s itinerary.

Note II: For a transit visa application, a copy of the e-ticket is required, and a visa to your primary destination must be in your passport before submitting the Japan transit visa application.
